The best way to get everyone on the same page prior to filming is to get them to read and complete a booking brief, call sheet or video booking template – people call the document different things. On this page you’ll find a free example that you can download and use. Feel free to change it to suit your project.
This template serves at least three purposes. First, it outlines what will happen, where it will happen and when it will happen on the day for all participants, so they know what to expect, and where they need to be.
Secondly, it provides an invaluable paper record of all participants’ names, job titles and contact details. It also covers the location’s address, parking information, public transport details and the contact details for the person in charge of the location on the day.
Successful filming means lining up several different people and several pieces of equipment in the same place at the same time. Having everyone’s mobile number on a piece of paper in your pocket is often essential to making sure this happens.
The final role of the booking brief is to outline the approvals process once filming is complete. It is easy for projects to get bogged down at this stage. Having a process for sign-off and approval agreed in advance is a big help.
